JOB DESCRIPTION
Position: Operations & Production Coordinator
Department: Management
Job Description
The Operations & Production Coordinator reports directly to the Managing Director and is responsible for the following duties:
1. Maintaining and regularly updating the gallery inventory.
2. Recording and tracking the location, condition, and movement of artworks.
3. Managing and organizing gallery storage facilities.
4. Actively participating in and coordinating exhibition and art fair installation and dismantling processes.
5. Conducting material research for artwork production, communicating with suppliers, and obtaining quotations.
6. Monitoring budgets for production and logistics processes, evaluating comparative quotations, and supporting cost optimization.
7. Managing communication and coordination with artists, curators, suppliers, and technical teams.
8. Supporting the gallery’s day-to-day operational activities.
9. Assisting with basic invoicing and administrative processes.
10. Identifying exhibition material and technical equipment requirements and coordinating procurement and installation processes.
11. Coordinating and monitoring workflows between external suppliers, internal teams, and business partners.
12. Ensuring the physical integrity, preservation, and proper handling of artworks.
13. Planning and managing domestic and international transportation of artists’ works.
14. Managing domestic logistics operations, including the delivery of sold artworks to collectors in a timely manner and with all required documentation.
15. Managing international logistics operations, including the import, export, and return shipment of artworks in accordance with exhibition and art fair schedules.
16. Ensuring that domestic and international transportation activities are carried out within budget and, where necessary, with approval from the directors.
17. Coordinating and overseeing exhibition installation and dismantling processes, artwork placement, packing, storage, and delivery of sold works to collectors.
18. Monitoring payments related to logistics and operational services carried out in connection with exhibitions and art fairs.
19. Preparing and presenting semi-annual and annual logistics and inventory reports to management.
Qualifications
1. Bachelor’s degree in a relevant field.
2. Minimum of 3 years of professional experience in operations, production, logistics, or collection management within a gallery, museum, art institution, or similar cultural organization.
3. Fluency in English, both written and spoken.
4. Proficiency in Microsoft Office, Adobe Creative Suite, ClickUp, SketchUp, InDesign, ArtLogic, and Google Workspace.
5. Strong written and verbal communication skills.
6. Strong sense of responsibility, ability to work collaboratively within a team, and capacity to coordinate and manage workflows when required.
7. Solid knowledge of the contemporary art scene in Türkiye.
8. Strong awareness of and interest in the international contemporary art landscape.
9. Excellent organizational, planning, and time-management skills.
10. Detail-oriented with a systematic and structured approach to work.
11. Ability to build and maintain professional relationships with artists, curators, and other stakeholders.
12. Solution-oriented mindset with strong problem-solving skills.
13. Familiarity with basic accounting and invoicing processes is preferred.
14. Flexibility to work outside standard business hours when required.
15. No restrictions on domestic or international travel.
